We comply with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth).

2. Information We Collect

Account information:

  • Full name, email address, phone number
  • Business name, ABN, trade type, business address
  • Payment details (bank account BSB, account number for invoicing)

Client information (entered by you):

  • Client names, phone numbers, email addresses, site addresses
  • Job details, quotes, invoices, payment records

Automatically collected:

  • Device information, browser type, IP address
  • Essential session cookies required for authentication

We do not use third-party analytics, advertising trackers, or non-essential cookies.

3. How We Use Your Information

  • To provide, operate, and maintain our platform
  • To process your account registration and manage your subscription
  • To send SMS and email notifications on your behalf (quotes, invoices, reminders)
  • To process payments and generate invoices
  • To provide customer support

4. Third-Party Services

We use the following third-party services to operate our platform:

  • Supabase (Australia) — Database hosting and authentication
  • Twilio (United States) — SMS delivery
  • Resend (United States) — Email delivery
  • Vercel (Australia) — Application hosting

Each third-party provider has their own privacy policy governing how they handle data. We only share the minimum data necessary for each service to function.

5. Data Storage and Security

Your data is stored in Australia. Our database and application hosting are located in Australian regions. However, when we send SMS or email on your behalf, message content (which may include client names, phone numbers, and job details) is transmitted through US-based providers (Twilio for SMS, Resend for email). These providers process data in transit only and do not retain it beyond delivery.

We use industry-standard encryption in transit (TLS) and at rest. Row Level Security (RLS) enforces complete data isolation between organisations — no business can access another business's data.

In accordance with Australian Privacy Principle 8, we take reasonable steps to ensure our overseas service providers comply with obligations equivalent to the APPs. Both Twilio and Resend maintain data processing agreements and industry-standard security certifications.

While we take reasonable steps to protect your information, no method of electronic storage is 100% secure. We cannot guarantee absolute security.

6. Data Retention

We retain your data for as long as your account is active. Soft-deleted records (documents, expenses, journal posts) are permanently removed after 30 days. If you close your account, we will delete your data within 90 days, except where we are required by law to retain it.

7. Your Rights

Under the Privacy Act 1988, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Withdraw consent for marketing communications
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC)

8. Cookies

We use only essential cookies required for authentication and session management. We do not use advertising, analytics, or any third-party tracking cookies. Disabling cookies in your browser may prevent you from logging in.

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through the platform. Continued use of the platform after changes constitutes acceptance of the updated policy.
